How does a professional headshot shoot work at a large company's office?
We set everything up the day before, so we're ready for a tight schedule and a busy day. The mobile photo studio goes into a designated room at your office or event venue. Employees drop in and out between meetings. No disrupted workday, no major prep needed on your side.
How long does prep take for a large corporate headshot project?
It can be done in two to three weeks, but ideally we plan a month or two ahead. That gives us enough time for the brand consult, the planning, the communication to employees and any branded promo material. We take the entire organization off your hands. HR forwards the booking link and makes sure people sign up. We handle the rest.
Can Headshot Day also photograph smaller teams, not just large organizations like Booking.com?
Absolutely. The Booking.com case shows what's possible at scale, but we photograph teams of, say, 20 people just as easily. The approach stays the same: on location, fully managed, consistent results.
What makes Headshot Day different from hiring a regular photographer for company photos?
A regular photographer shows up with a camera. We deliver a complete branded photoshoot experience: brand consult, makeup, shoot flow, crowd management, on-the-spot photo selection and personal photo delivery per employee. At your location, in your style, fully managed.
How much space do you need at our location?
A space of about 4 by 4 meters is enough for the mobile photo studio. For the GO and SET&GO queue we need a bit more room — this can also be a hallway next to the studio. A quiet corner, meeting room or lobby works fine. No special technical facilities needed: we bring everything ourselves, from studio lighting to backdrop. We've never organized a headshot shoot before. Where do we start?
With an intro call. There we discuss your team size, wishes and timing. We then put together a tailored proposal and take the rest of the organization off your hands, from branding consult to planning and employee communication. All you do is pick a date and forward the booking link.
Can you come back for an annual headshot shoot as our team grows?
Yes, gladly. Many organizations book a Headshot Day annually, for each new group of employees or on onboarding days. That keeps your team page up to date and your style consistent over the years. We can also set up a recurring arrangement.
How do you integrate the studio into a running event program?
We build a branded photo studio that fits within your event venue, often in a separate room or corner next to the main program. Attendees drop in between sessions, get photographed and head back to the program afterwards. At some events we shoot all day, at others only during breaks, to disrupt the program as little as possible. It really depends on the specific circumstances and wishes.
What do we need to make a headshot shoot at our event possible?
Not much. A space of at least 4 by 4 meters, two power outlets and enough room for a short queue. We bring the rest: studio, lighting, backdrop, queue setup, makeup artist and promo material. Book an intro call and we'll go over the practical details for your event.
